FleetsHub is a software tool, not a compliance service

FleetsHub LLC provides software to help motor carriers organize records, schedule reminders, collect signatures, and store documents. FleetsHub is not a law firm, compliance consultancy, DOT auditor, or safety consultant. Nothing in the platform constitutes legal, regulatory, safety, or compliance advice.

You are solely responsible for compliance

As a motor carrier, you remain solely and fully responsible for compliance with all applicable laws and regulations, including but not limited to:

  • 49 CFR Parts 40, 380–399 (FMCSA regulations)
  • DOT, FMCSA, PHMSA, and state/provincial requirements
  • CDL, drug & alcohol testing, hours-of-service, and DQ file rules
  • Vehicle maintenance, inspection, and repair requirements
  • Hazmat, IFTA, IRP, UCR, and insurance requirements
  • Local, state, and federal employment and tax laws

No guarantee of audit outcomes

FleetsHub does not guarantee that you will pass a DOT audit, New Entrant safety audit, compliance review, roadside inspection, or any other regulatory review. We do not guarantee any particular CSA score, SMS percentile, safety rating, or insurance outcome. Using FleetsHub does not shield you from violations, fines, out-of-service orders, civil penalties, or downgraded safety ratings.

Accuracy of data you enter

FleetsHub stores and organizes the information that you, your staff, your drivers, and third parties enter or upload. We do not verify the accuracy, authenticity, completeness, or legal sufficiency of any document, signature, MVR, medical certificate, drug test result, inspection report, or any other record. You are responsible for confirming that every record in your account is true, current, and complete.

Reminders and notifications are courtesy only

Expiration reminders, notifications, dashboards, alerts, and health scores are provided as a convenience. You are responsible for tracking your own deadlines. A missed, delayed, or incorrect reminder does not relieve you of any compliance obligation, and FleetsHub is not liable for any consequence of relying on them.

Third-party data sources

Any data pulled from third parties (FMCSA SAFER, SMS, license verification, MVR providers, drug testing consortia, etc.) is provided by those third parties and may be incomplete, outdated, or wrong. FleetsHub is not responsible for third-party data.

No attorney-client or consultant relationship

Use of FleetsHub does not create an attorney-client, consultant, employer-employee, agency, or fiduciary relationship between you and FleetsHub LLC. Consult qualified legal counsel and licensed safety/compliance consultants for advice specific to your operation.

Limitation of liability

To the maximum extent permitted by law, FleetsHub LLC is not liable for any fines, penalties, lost revenue, lost contracts, downgraded safety ratings, out-of-service orders, accident liability, or any direct, indirect, incidental, special, consequential, or punitive damages arising from your use of, or inability to use, the platform — including any failed audit or inspection. Our total aggregate liability is capped as set in the Terms & Conditions.

Indemnification

You agree to indemnify, defend, and hold harmless FleetsHub LLC, its officers, employees, contractors, and affiliates from any claim, demand, fine, penalty, or expense (including reasonable attorneys' fees) arising from (a) your or your drivers' acts or omissions, (b) inaccurate or falsified records in your account, (c) your failure to comply with any law or regulation, or (d) your violation of these terms.
